The Pietermaritzburg office of G4S Cash Solutions (SA), a leading provider of integrated cash management solutions, has an opening for an Administration Clerk (Branch).
This position reports to the Branch Administrator and is responsible for maintaining the branch’s administrative support.
The successful candidate is a self-starter with a track record of upholding company policy, adopting best practices, exercising sound judgment in the pursuit of the organization’s goals, and understanding the role of facilities management within a successful business unit. The incumbent will be expected to be results-oriented and to embody the organization’s values.

Compensation and benefits will be commensurate with the level of responsibility and in accordance with the organization’s remuneration policy and practice. This position is located in Pietermaritzburg and is a full-time, permanent position. Applications must be submitted on or before March 6, 2023.


Office Function

  • Daily administrative duties at the branch Stationary and grocery ordering, distribution, and stocktaking
  • Follow up and resolve delivery and order issues

HR Function

  • Keeping an office leave planner (and leave form file)
  • Simple Roster time capture
  • Simple administration of the Roster and consolidation of all departmental times
  • Examine the Earnings Analysis for salary accuracy.
  • Maintaining an accurate filing system and ensuring that all Personnel records, including personal information, tax information, attendance records, and other benefit data, are in order.
  • Keep HR-related correspondence on file,
  • Provide information during audits and upload accident reports to COID sites while submitting forms.
  • Keep track of employee status changes. This consists of employee transfers, wage and benefit changes, address changes, licenses or certifications, and termination reasons.
  • Compliance with WCA requirements pertaining to: Form completion and submission Reporting requirements
  • Online monitoring of the progression of claims (COID)
  • Submit leave forms and sick leave to the NBCRFI Administration of Leave/Sick leave and Wellness Fund in accordance with NBCRFI requirements.
  • Check the VIP clocking times weekly to ensure accuracy, and post the times in a conspicuous location so that the operational staff can verify them.
  • Before paying the employees, verify the accuracy of the Earnings Analysis on a monthly basis (Check Unpaid Absences, Overtime, and deductions)

Fleet Management

  • Maintain precise records on all vehicles pertaining to: accidents
  • Fuel Card distribution and monitoring
  • Driver’s license documentation
  • Vehicle service documentation
  • E-tags Ensure all records are filed appropriately and in an orderly fashion Liaison with Transport providers regarding all leased vehicles
  • Ensure that all vehicle licenses are current.

Creditors Function

  • Ensuring that invoices and deliveries are accurate
  • SAP capture of all invoices
  • Communication with Headquarters regarding payment of creditors

General Function

  • Keeping an effective and current filing system for human resources, fleet, and accounts
  • Unscheduled administrative requests. Occasionally, you may be asked to perform tasks that are outside the scope of your job.

Health and Safety

  • Participate in the design, development, review, implementation, and oversight of the annual departmental safety plans.
  • Participate in company-created safety forums, such as safety meetings and safety talks
  • Report all safety incidents to the appropriate authorities
  • Describe every safety incident
  • Follow-up on all safety meeting/committee/representative/management-assigned activities.
  • Participate in safety education and update programmes
  • Comply with workplace safety policies and procedures
  • Distribute safety-related information as needed
  • Always wear protective clothing.


Minimum Qualifications and Experience

  • Matric
  • Minimum of two years’ experience in office administration
  • Computer proficiency, such as MS Office, a time management system, SAP, or equivalent
