Duties

accountable for the manager’s office’s general management. managing and coordinating office activities on a daily basis. administration of all incoming and outgoing mail. coordination and planning for workshops, meetings, and document typing. Offer reception services such as call screening, taking and responding to messages, and extending a warm welcome to guests entering the manager’s office. Making travel and lodging arrangements and submitting all travel and subsistence claims. handling of secret paperwork. utilize common office tools (fax, photocopy machine, and telephone). Write all correspondence, including letters, reports, and submissions. Organize and serve refreshments, take minutes, and other administrative chores.

Requirements

Grades 10 or 12 or equivalent are required. Understanding of: Secretarial responsibilities as well as the capacity to record data, use a computer (Microsoft Office), gather statistics, and track, save, and retrieve documents. Knowledge and comprehension of the legal framework governing the public service, including the Batho Pele Principles, patients’ rights, and PFMA, as well as working processes with regard to the workplace Skills: Effective written and oral communication, typing, organization, planning, problem-solving, time management, and the capacity to decipher instructions. There will be the added benefit of: Grade 12 with many years of secretarial experience.
