REQUIREMENTS

With no experience, obtain a National Senior Certificate / NQF level 4 qualification. Previous administration experience in a hospital setting will be advantageous. This is a ward-based role in a psychiatric hospital. Policies and procedures are well-understood. A thorough awareness of administrative procedures. Knowledge of the Mental Health Act as well as all other relevant Public Service Legislation is required. Confidentiality is understood. Customer-oriented and customer-focused Written and spoken communication are both important. Skills in report writing and time management. Computer competence in MS Office, particularly Word and Excel, is advantageous. Preference will be given to candidates with one (1) year of experience in a public service internship program.

DUTIES

Assist with ward administration: Assemble patient files including pertinent documentation. Make a note of the patient census at midnight and reconcile it. Keeping track of admissions, discharges, and transfers is essential. Maintain a tidy, relevant, and up-to-date notice board. Obtain statistical information. Keep an eye on the stock levels in the ward: Order and receive items for the ward, including as stationery and medical supplies. Ward stock that has been condemned should be replaced. Keep track of the ward’s supply and supplies. Keep track of documents and files: Maintain a tidy and comprehensive filing system. Correspondence should be filed. File movement can be tracked. Sort files into archives based on their category and location. Carry out routine clerical tasks: Photocopies should be made. Compile a list of duty roosters and send it to Human Resources. Make transportation arrangements for the patients’ transfer. Answer ward phone calls.
